Privacy Policy
Effective October 23, 2026 · Version 2026-10-23
This Privacy Policy describes how Utter Reach, INC., a Michigan, USA business ("Utter Reach," "we," "us"), handles information in connection with UtterDialer, including utterdialer.com and a.utterdialer.com. Contact us at info@utterreach.com.
1. Information we process
Account and business information includes names, email addresses, workspace details, login credentials stored as password hashes, plan selections, account status, and records of agreement to our terms. Billing information includes payment references, subscription status, transactions, and credit history. Stripe processes checkout and payment details; our application does not intentionally store full payment card numbers.
Customers may provide contact names, telephone numbers, lead lists, campaign information, notes, appointments, dispositions, and other business records. Depending on the features used, communications data can include call parties, numbers, timestamps, duration, routing events, recordings, speech transcripts, messages, and delivery or screening results. Do not upload information you are not authorized to provide.
We also process technical and security information, including IP addresses, browser/request information, authentication and session records, verification results, and application or provider logs. We use necessary session cookies to keep users signed in and protect forms. Cloudflare Turnstile, when enabled, processes verification signals to help prevent automated abuse.
2. Why we use information
We use information to provide and administer workspaces, communications and phone numbers; authenticate users; process billing and credits; support users; detect voicemail and classify call outcomes; troubleshoot problems; prevent fraud and abuse; enforce our agreements; respond to lawful requests; and maintain and improve service reliability. Call screening can analyze greeting speech and may misclassify an answer. Customers remain responsible for reviewing outcomes.
3. Customer data and responsibilities
For lead, contact, and communications content uploaded or generated by a business customer, that customer generally determines the purposes of processing and we process the information to provide the service. We separately determine how to process account administration, security, billing, and service operation information. The applicable legal roles depend on the circumstances and applicable law.
Customers are responsible for their own privacy notices, lawful contact permissions, recording and transcription notices or consents, opt-out handling, and instructions to us. If you received a call from a customer, contact that business about its outreach and your preferences. You may also report suspected misuse to us. Businesses that require a data processing agreement or international transfer terms should contact us before uploading data subject to those requirements.
4. Providers and other disclosures
We disclose information as necessary to service providers. These include hosting and infrastructure providers; Twilio for telephone numbers, routing, voice, messaging, and related communications data; Stripe for payments and subscriptions; OpenAI for enabled speech-transcript analysis or classification; and Cloudflare for enabled abuse verification. Providers receive the data needed for the features used and may process certain information under their own terms and privacy notices. Availability and configuration of features can change. The conversational AI voice-agent feature is currently disabled.
We may disclose information to authorized workspace users and administrators, professional advisers, authorities when legally required, parties necessary to investigate abuse or protect rights and safety, or parties involved in an actual or proposed merger, financing, acquisition, or business transfer subject to appropriate safeguards. We do not operate a business selling customer lead lists or call recordings. We do not use customer communications content for cross-context behavioral advertising.
Lead-file storage and previous Telegram forwarding
UtterReach stores uploaded CSV and XLSX files in private server storage and imports contact data into your workspace. Automatic Telegram forwarding is currently disabled. New uploads are not queued for automatic delivery to Telegram. Original files and imported contacts are retained under the retention and deletion terms below.
While forwarding was previously enabled, complete original files, including all columns, account email, workspace identifier, upload time, and contact count, could be sent through our Telegram bot to the Utter Reach administrator group for administration and support. Disabling forwarding does not remove copies previously delivered to Telegram or downloaded by authorized group members. Telegram processes cloud messages under its Privacy Policy; these messages are not end-to-end encrypted. Contact info@utterreach.com for deletion requests and provider limitations. We will update the upload disclosure before restoring forwarding.
5. Retention and deletion
Retention depends on the type of information, account activity, customer instructions, provider retention, operational needs, disputes, fraud prevention, and legal obligations. We have not established one fixed deletion period for all categories. Records and backups may remain after account closure for these purposes; deletion from backup cycles may take additional time. Contact us to request an export, account closure, deletion, or details about retention for your data. We will explain any information we must retain and any provider limitations that apply.
6. Security and international processing
We use safeguards such as encrypted web connections, hashed account passwords, access restrictions, and separation of customer workspace records. No service can guarantee absolute security. Protect your credentials, limit access, and notify us promptly of suspected unauthorized use. Information may be processed in the United States and other locations where our providers operate. Laws and protections can differ between locations.
7. Requests and choices
Depending on your location and applicable law, you may have rights to access, correct, delete, export, restrict or object to processing, withdraw consent, or appeal a decision about a privacy request. These rights are subject to applicable exceptions. Email info@utterreach.com with your request and the account or business involved. We may verify identity and authority and will respond within the period required by applicable law. Do not send passwords or full payment card details. If we process your information on behalf of a customer, we may refer your request to that customer and assist it as appropriate. Where available, you may complain to the relevant privacy authority.
Necessary cookies support core account and security functions. Blocking them can prevent the service from working. This policy does not claim that a browser signal automatically deletes data or opts you out of a customer's calls. Contact the calling business to communicate an opt-out and report unresolved abuse to us.
8. Children and sensitive information
The service is for business users aged 18 or older and is not directed to children. We do not knowingly collect children's account information. Do not upload payment card details, Social Security numbers, medical records, or other highly sensitive or specially regulated information into lead notes or communications unless we have expressly agreed in writing to support that use. Contact us if you believe prohibited information has been submitted.
9. Changes and contact
We may update this policy to reflect changes to the service or our practices. We will update the effective date and provide additional notice when required by law. Contact: Utter Reach, INC., Michigan, USA, info@utterreach.com.
